Information Technology Project Coordinator (Hybrid, MA)
We are seeking a person with strong project management skills that can help translate technical work into clear plans and outcomes. The Information Technology Project Coordinator will enable Nonotuck to deliver technology and process projects on time, on budget, and in compliance, by providing structured coordination, documentation, stakeholder communication, and project planning across departments, enabling SMEs, developers, and leaders to focus on decisions and content, not logistics. While a working understanding of IT is important, the value of this role is in managing the work while bringing clarity, structure, timelines, and coordination across project participants and departments. This position is ideal for someone with a general knowledge of information technology with primary strengths in planning, organization, communication, follow-through, and accountability.

Information Technology Project Coordinator (Full-time Exempt, Monday-Friday)
Key Responsibilities:
Planning & Coordination
- Facilitate project intake and scoping; document goals, stakeholders, assumptions, risks, and constraints.
- Build and maintain lightweight project plans (timeline, milestones, dependencies) in Planner/Tasks or Project for the Web; maintain shared calendars, Teams groups, SharePoint project sites, distribution groups.
- Schedule and run follow up meetings, working-group meetings, backlog reviews. Schedule and organize Steering Committee and Subcommittee sessions; prepare agendas and capture minutes/action items; send meeting agendas and follow up emails.
Documentation & Governance
- Maintain project documents and plans in SharePoint: governance charters, decision logs, risk analysis, change requests, status reports, UAT (user acceptance testing) scripts, release notes, training documentation.
- Track decisions and approvals; keep an auditable trail for HIPAA, contractual, and policy compliance.
- Support content governance for the Intranet: site owner lists, review cycles, naming conventions, versioning, and archival standards.
Communication & Change Management
- Draft concise stakeholder updates, release communications, and training notices; coordinate with Executive Team/HR/Operations on rollout plans.
- Prepare simple how‑to guides, brief videos, and knowledge base pages; ensure plain language and WCAG‑compliant (accessibility) formatting.
- Monitor feedback channels; triage issues to the right owner; track resolution.
Execution Support
- Coordinate data collection and validation for NOVA (EMR) configurations, forms, and workflows; track UAT feedback; manage cutover checklists, rollout, and adoption.
- Support SharePoint site builds: template decisions and application, navigation catalogs, permissions requests (least‑privilege), and content migration scheduling.
- Partner with IT for access provisioning and permission structure, MFA, device readiness, and HIPAA safeguards, as needed.
Compliance & Risk
- Apply HIPAA principles (minimum necessary, access controls, audit trails); escalate suspected PHI issues immediately.
- Ensure ADA/WCAG 2.1 AA (accessibility) considerations in documents, pages, and communications (alt text, headings, color contrast, captions).
- Maintain risk/issue logs; surface blockers early; propose mitigation and decision options.
Required Qualifications:
- Familiarity with Microsoft 365 (SharePoint, Teams, Planner, OneDrive, Forms, Excel/Power Query; bonus: Power Automate/Power Apps, database, AI).
- Strong writing, organizational, and follow up skills and ability to produce clear, accessible materials.
- Working knowledge of HIPAA compliance and data privacy; comfort applying least privilege access and audit practices.
Preferred Qualifications:
- 2-4 years experience working in health & Human services or nonprofit a plus
- Exposure to EMR systems, healthcare workflows, or quality/compliance (QE/Clinical).
- Experience with SharePoint information architecture and basic content organization and development.
- Basic data skills (CSV/Excel cleanup, data validation) and UAT (User Acceptance Testing) coordination.
- Change management certifications (Prosci) or PMP/CAPM (not required).
- Detail oriented, organized, and able to manage multiple workstreams with firm follow up.
