Nonotuck Resource Associates is looking for a detail-oriented, motivated financial professional to support our mission of helping people live meaningful, connected lives in their communities. In this role, you’ll handle billing for state agencies and private pay sources, maintain compliance with financial regulations, post billing entries, and help keep our financial forecasts accurate and up to date. You’ll also assist with contract reconciliation, monitor contract usage, and support the preparation of new program budgets and contract amendments. Additionally, you’ll ensure caregiver contracts and stipend levels are accurate and properly linked to the right state funding sources.

Billing & Accounts Receivable Specialist (Full-time Non-Exempt, Monday-Friday, 8am-4pm)

Key Responsibilities:

Billing & Accounts Receivable 

  • Maintain compliance with all fiscal requirements such as Generally Accepted Accounting Principles, IRS regulations and the Commonwealth of Massachusetts regulations and guidelines.
  • Complete the billing of contracts with DDS, MRC, MCB, DCF, DMH, private pay, etc. via manual invoices and electronically via the Enterprise Invoice Management System (EIM)
  • Assist in the billing of Charges for Care and communicate with representative payees
    • Ensure contract offsets (charges for care) are updated
  • Complete and post all billing entries into the accounting system
  • Assist in maintaining effective internal controls
  • Complete daily updates to the Adaptive Budget software system to maintain working forecast
  • Reconcile all state and private pay contracts
  • Monitor contract utilization
  • Assist with the preparation of new program budgets, contracts, agreements and amendments and ensure their timely submission
  • Ensure Caregiver Contracts and Stipend Levels reconcile and are coded to appropriate Commonwealth of Massachusetts contracts such as with Department of Developmental Services and approved Adult Family Care stipend levels.

Contracting with the Commonwealth of Massachusetts

  • Reconcile all state and private pay contracts
  • Monitor contract utilization
  • Assist with the preparation of new program budgets, contracts, agreements and amendments and ensure their timely submission

Caregiver Contracts (Providers - Independent Contractors)

  • Ensure Caregiver Contracts and Stipend Levels reconcile and are coded to appropriate Commonwealth of Massachusetts contracts such as with Department of Developmental Services and approved Adult Family Care stipend levels.

Qualifications:

Competency: 

  • Knowledge of the regulatory requirements i.e. the Department of Developmental Services, Office of Medicaid, Adult Foster Care Services and the Social Security Administration.
  • Advanced knowledge in Microsoft Excel, Word, accounting general ledger programs and software
  • Ability to analyze and see trends in various types of data and recommend follow-up steps in response to conclusions reached
  • Displays a high level of initiative, effort, attention to detail and commitment by completing assignments efficiently with minimal supervision

Communication: 

  • Communicate professionally with all individuals, employees and external parties verbally and in writing
